This Privacy Policy explains how Voxgard, Inc. (“Voxgard,” “we,” “us”) collects, uses, and shares personal information when you use voxgard.com, the Voxgard dashboard, and our AI receptionist service (together, the “Service”), and the choices you have. It applies to our business customers and their team members, to visitors of our websites, and — with an important caveat below — to people who call or text a phone number operated by the Service.

1. Two roles: our customers' callers vs. you

When a caller speaks with an AI receptionist that one of our customers has set up, we process that call — including the recording and transcript — on behalf of that customer, who decides why and how the data is used. If you are such a caller, please direct privacy requests to the business you called; we support our customers in fulfilling them. The rest of this policy describes both what we do as a service provider and how we handle data for which we decide the purposes (accounts, billing, website analytics).

3. How we use information

We use personal information to: provide and operate the Service (answering calls, recording, transcription, AI-generated responses and summaries); create and manage accounts; process payments and metered usage billing; send service communications (e.g. usage warnings, billing notices); provide support; secure, debug, and improve the Service; and comply with law. We do not sell personal information, and we do not use your call content to train generalized AI models for third parties.

4. Call recording and AI processing

Calls handled by the Service are recorded and transcribed so the business you called can read what happened, and are processed by automated AI systems to generate live responses, summaries, and quality analyses. Call-recording consent requirements vary by jurisdiction; our customers are responsible for providing any required notice to their callers, and the Service supports playing such disclosures.

5. How we share information

We share personal information only with: (a) service providers / subprocessors that help us run the Service — payment processing (Stripe), telephony and SMS carriers (Telnyx), speech-to-text and text-to-speech providers, large-language-model inference providers, cloud hosting and storage, and transactional email — each bound by contract to use the data only to provide their service to us; (b) our customers (your conversation with a business's receptionist is shown to that business); (c) authorities where required by law; and (d) a successor in a merger or acquisition, subject to this policy.

6. Data retention

Account and billing records are kept for as long as your account is active and as required for tax and accounting. Call recordings, transcripts, and messages are kept while the owning customer's account is active, so the business can access its history; customers can delete individual records in the dashboard, and closed accounts' data becomes eligible for deletion 30 days after termination. Legal acceptance records are retained as long as needed to evidence the agreement.

7. Security

We use industry-standard safeguards: encryption in transit (TLS), hashed passwords, role-based access controls, and audit logging for sensitive operations. Payment card data is handled by Stripe and never touches our servers. No system is perfectly secure; we will notify affected parties of a breach as required by law.

8. Your rights

Depending on where you live (e.g. under the EU/UK GDPR or the California CCPA/CPRA), you may have rights to access, correct, delete, export, or restrict the processing of your personal information, and to non-discrimination for exercising them. Contact us at info@voxgard.com and we will respond within the time required by law. If we hold the data as a service provider for one of our customers, we will refer your request to them and assist. EU/UK users may also lodge a complaint with their supervisory authority.

9. Cookies and analytics

Our marketing site uses cookies and similar technologies only as selected in the cookie banner; analytics and advertising tags do not fire without consent. The dashboard uses strictly-necessary storage (e.g. your login session).

10. International transfers

We are based in the United States and process data there and in the regions of our subprocessors. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for cross-border transfers.

11. Children

The Service is for businesses and is not directed to children under 16; we do not knowingly collect their personal information.

12. Changes to this policy

We will post updates here and, for material changes, notify customers by email or in the dashboard before they take effect. The “Last updated” date above always reflects the current version.

13. Language

This policy is drafted in English. Translations may be provided for convenience only; in case of any conflict, the English version controls.
